The OSCE Academy in Bishkek, Kyrgyzstan invites applications to its temporary position of Administrative Assistant. Actual dates of employment will be communicated with the most successful candidate upon budget availability.

The OSCE Academy in Bishkek is a public foundation, created in 2002 as a result of the partnership between the Kyrgyz Government and the Organization for Security and Co-operation in Europe (OSCE). The OSCE Academy promotes values and principles of the OSCE through research, post-graduate education, professional trainings, and intellectual exchange.

Key duties and responsibilities of the Administrative Assistant are as follows:

Under the supervision of the Deputy Director and HR Specialist, the Administrative Assistant will be working on the following tasks:

• Arrange documents for obtaining entry/exit visas for students and faculty, trainers and participants of trainings, seminars and conferences, for staff members according to the KR legislation;
• Arrange timely registration of foreign citizens;
• Assist on booking air tickets to staff members, students, guests, trainers, training participants, alumni of the Academy;
• Carry out analysis and drafting of documents (contracts, letters, orders, internal documents and office correspondence);
• Conduct correspondence with government bodies, originations and partners of the Academy;
• Draw up and conclude contracts, agreements, track their execution, statuses and validity periods;
• Draw up plans, reports in accordance with job functions;
• Implement other duties at the request of the administration.

Qualifications and eligibility:

• Completed BA degree and/or diploma of higher education;
• Experienced PC user (knowledge of MS Office programmers, learning web-platforms);
• Fluency in Russian and English (written and oral) languages;
• Knowledge of Kyrgyz language is an asset.
• Ability to work independently, timely implement tasks;
• Ability to learn fast, a developed sense of responsibility, communication skills and ability to work in a team;
• Excellent analytical skills, experience of working with a large amount of information and documentation within a short period of time;
• Experience in relevant areas is an asset.
