The OSCE Academy in Bishkek is a public foundation, created in 2002 as a result of the partnership between the Kyrgyz Government and the Organization for Security and Co-operation in Europe (OSCE). The OSCE Academy promotes values and principles of the OSCE through research, post-graduate education, professional trainings, and intellectual exchange. The OSCE Academy provides an excellent opportunity to gain valuable experience in the Administrative Department. Key duties and responsibilities of the Administrative Assistant are as follows:
• To arrange documents for obtaining entry/exit visas for students and faculty, trainers and participants of trainings, seminars and conferences, for staff members in accordance with the Kyrgyz legislation;
• To arrange timely registration of foreign citizens affiliated with the Academy’s activities;
• To assist in arranging travels, booking air tickets for staff members, students, guests, trainers, training participants, alumni of the Academy;
• To carry out statistics, draft job-related documents (contracts, letters, orders, internal documents and office correspondence).
• To arrange signature of necessary documents by the Management and track their proper execution, status and validity periods;
• To conduct necessary correspondence with government bodies, originations and partners of the Academy when needed or requested by the Management;
• To prepare plans, reporting inputs in accordance with job functions and as set by the Academy’s rules;
• To perform other duties as required by the position.
Qualifications and eligibility
• Completed BA degree and/or diploma of higher education;
• Experienced PC user (knowledge of MS Office programmers, learning web-platforms);
• Fluency in Russian and English (written and oral) languages;
• Knowledge of Kyrgyz language is an asset.
• Ability to work independently, timely implement tasks;
• Ability to learn fast, a developed sense of responsibility, communication skills and ability to work in a team;
• Excellent analytical skills, experience of working with a large amount of information and documentation within a short period of time;
• Experience in relevant areas is an asset.
